Event vs Contact Notes: Greater Clarity & New Capabilities

We’ve refined Contact Notes to help you distinguish between:

• Generic Notes (formerly "Notes") – Permanent CRM notes linked to a contact, such as dietary restrictions or personal preferences. These stay the same across all events.
• Event Notes (formerly "Event Details") – Event-specific notes that vary per event, like seating preferences, arrival times, or transportation details.

Need to bring in notes quickly? No problem—you can import both directly from Excel. And when you're on-site, you’ll see both types of notes right inside the Magnetiq iOS app when checking attendee details. Everything you need, right at your fingertips!

Get Notified When Key Attendees Check-In

Want to stay updated when a certain group of attendees arrives—like speakers, VIP guests, or media representatives? Now, you can set up email notifications for check-ins based on attendee Categories or Areas.

Just head to Settings in the web app, select the categories you want to track, and Magnetiq will send you an email whenever someone from that group checks in. No need to keep refreshing the list—stay informed in real time!

Control Check-In Permissions in the iOS App

Need to prevent certain staff from accidentally checking in guests? You can now disable check-in actions for specific devices in the Magnetiq iOS App Settings.

When check-in is disabled, the check-in buttons and QR scanning options will no longer be available. However, you’ll still be able to see which attendees have already checked in, with their checkmarks visible in the list.

This is perfect for ushers or support staff who only assist after check-in, ensuring smoother operations without accidental data changes.

Bulk Import Special Passes from Excel

Simplify how you manage exclusive access with the new Bulk Import Special Passes feature! Whether you’re offering VIP access, backstage passes, or exclusive lounge entry, you can now assign special passes to multiple guests in just a few clicks.

Example: Need to grant VIP access to 50 special guests? Simply upload an Excel file, and Magnetiq will generate personalized passes — instantly available in Apple Wallet and Google Wallet.

Enhanced Email Template Editor

Make your email communication more tailored with new customization options:

• Personalize the Add to Calendar link’s label text and color.
• Add a custom Footer Link (e.g., Privacy Policy) with your choice of label and color.
• Set the color of the mandatory Unsubscribe link.

Smarter Seating Management: Assign, Swap, and Control Visibility on iOS

Seating Management on iOS App

Now, you can manage attendee seating directly from the Magnetiq iOS app. This new tool enables you to assign, reassign, and even swap seats on the spot.

Ideal for both the planning phase and last-minute changes, this feature allows you to:

• Assign and Reassign Seats: Access attendee details and adjust their seating assignment with ease.
• Swap Seats: Swap seats between attendees with a single tap for quick adjustments.

Control Seating Plan Visibility for Managers

Admins now have the ability to control when Managers can access the seating plan in the event settings. This flexibility supports a phased approach to seating assignments:

• Initial Planning Phase: Admins can define and set up portions of the seating plan to assign to each Manager team without making the seating plan visible to them. During this stage, Managers can focus on list management tasks, such as uploading contacts, tracking invitation statuses, sending invites, and handling RSVPs.
• Seating Plan Assignment Phase: Once seating assignments are ready, Admins can enable seating plan visibility for Managers, allowing them to assign seats to their specific list segment as needed.

Add Attendees via iOS, Smarter iPad Views, and More Ways to Customize Apple Wallet

Add Attendees directly via iPhone or iPad

You can now add attendees directly through the Magnetiq app on your iPhone or iPad! Whether you're at the venue or managing last-minute changes, this highly requested feature makes handling your guest list more flexible.

Here’s how it works:

• Import attendees from your centralized contact list or create new contacts, which will automatically be saved to the list.
• Set both Access Status (sitting, standing, photographer, staff, etc.) and invitation status (confirmed, to be confirmed, etc.) when adding new attendees.
• For events with seating arrangements, you can assign a seat to the new attendee directly from the app, ensuring a smooth process for any last-minute guest additions.

New View Mode on iPad for events with seating plan

We’ve introduced a new View Mode on the iPad, giving you more options for managing guest check-ins. You can now switch between three modes:

• Automatic View (default): displays the Seating Plan + List in horizontal orientation, and only the List in vertical orientation.
• Seating Plan Only: shows just the Seating plan in both horizontal and vertical formats.
• List Only: displays just the Attendee List, even in horizontal format.
